A custom Django middleware platform that bridges TeamSnap with Google Sheets, automating roster management, registration tracking, and cross-division athlete coordination for a multi-division sports organization.
The client operates a multi-division sports organization with hundreds of athletes across multiple age groups and competitive levels. Managing registrations, roster assignments, and athlete data across TeamSnap and internal spreadsheets had become an overwhelming manual process that consumed hours of administrative time each week.
Data lived in silos — registration forms fed into one system, rosters existed in TeamSnap, and tracking spreadsheets were maintained separately in Google Sheets. Staff were manually copying athlete information between systems, leading to duplicate entries, missed registrations, and rosters that were perpetually out of sync.
We built a custom Django middleware platform that serves as the single source of truth for all athlete data, connecting TeamSnap, Google Sheets, and registration forms through a unified integration layer. The platform automates the entire workflow from registration to roster assignment to reporting.
The platform eliminated approximately 80% of the manual data entry that staff were performing weekly. Roster assignments that previously required cross-referencing multiple spreadsheets now happen instantly through the automated pipeline. Tracking spreadsheets that took 30+ minutes to compile are generated in under 30 seconds.
The duplicate detection system caught and resolved existing data inconsistencies during the initial sync, and the bi-directional TeamSnap integration ensures rosters stay accurate in real-time. The client's administrative staff now spend their time on program development rather than data entry.
